Problem Description

When someone calls in sick or needs to swap a shift, it becomes a nightmare. The manager has to call or text multiple people to find coverage, then update the printed schedule, then hope everyone sees the change. We've had multiple instances of understaffing because people didn't know about schedule changes, or double-staffing because the old schedule wasn't updated properly.

Current Workaround

Created a WhatsApp group where I post changes, but not everyone checks it regularly and messages get buried.

We have had people show up for the wrong shift because they were looking at an old printed schedule. Nobody is trying to cause trouble, but it turns into a blame game because there is no single 'official' schedule everyone can see.

This happens constantly for us. Someone swaps or calls in sick and suddenly nobody knows which version of the schedule is the latest. People get upset because they genuinely think they are right, and it damages trust on the team.

We tried using a group chat too, and it becomes noise. Updates get buried under unrelated messages, and then you get the classic 'I never saw that'. The stressful part is not the change, it is the uncertainty about who is actually showing up.
