Problem Description

We have 50+ machines on the factory floor and each one needs regular maintenance. The problem is that maintenance records are all over the place - some in binders, some in Excel sheets on different computers, some just in people's heads. When a machine breaks down, we can't quickly see its maintenance history to diagnose the issue. We've replaced parts that were just replaced because there's no record.

Current Workaround

Trying to consolidate everything into a master Excel file, but it's always out of date and people forget to update it.

We are living this right now. When a machine stops, the maintenance team looks like they are 'slow' but really they are just trying to piece together history from half-remembered fixes and notes in random places.

Maintenance records living in random places is painfully familiar. When a machine fails, the first hour is spent asking around and digging through binders just to understand what was done last time. It makes the team look unprepared even when they are working hard.

We have also replaced parts that were 'already replaced' because nobody could find the history quickly. Then management asks why costs are high, but the reality is the information is scattered and people rely on memory under pressure.
